Retail Store Books Cleanup

Retail Store Books CleanupQuestions from the counter

The same four worries show up once a deadline has made someone open the file.

Ask about your month.
Suit jackets on a shop rail during the day, a floor that still has to match the file.

You are months behind.

Send the bank access, the processor access, and the name of the deadline. A perfect shelf count can wait. The deadline decides which months have to be finished first, and the other months stay listed rather than faked.

Being behind is what a busy counter does to a file. The story of how is less useful than the deposits you did not trust and the month you last trusted. A household charge on the store card belongs in that same note, named as a household charge, so the margin is not blamed on the shelves.

Sales tax is due.

The filing stays with you and with the person who prepares it. What they need from the books is tax collected set apart from sales, and a bank balance that is not treating the tax as spendable. That slice can be built without a full rebuild of every old week.

Bring the notice. We will say what the open months can support and what is still missing. A missing rate is a question for the receipts, not a number we invent.

Three channels at once.

Yes, the card batches, the marketplace and the drawer can be reconciled together, as three clearing accounts rather than one pile. Every payout has to tie to sales, fees and refunds in its own channel. A loser stops hiding inside a healthy total.

Bring the logins and the names you already use for the counter, the phone orders, and the marketplace. We will say if a channel is too tangled to finish before the date.

Gift cards still in income.

That money is unearned until the card is used. Leaving it in income makes the closed period look better than the cash you can keep, and it makes the later redemption look like a loss. We move the open balance out and let redemptions recognize the sale when the goods leave.

Customer deposits follow the same path. A transfer that was a loan follows a different path, and only when the paper exists. If the memo is blank, we ask before we pick a name.

If you are months behind and the sales-tax date is also close, send both facts in the same note. We will not ask you to choose a personality for the mess. The order is the date first, then the bank, then the items that are not sales yet. A count of the fast movers can be the second call. The slow wall can be a later week. A chargeback, a household trip on the store card, or a deposit that might have been a loan belongs in that same note. Those three change the month even when the shelf count looks fine. Name a chargeback or a household charge if you already see it. We can still find one you have not spotted. Put that name on the note.

Where to go from here.
